FIM is committed to protecting private and personal information with great care and we consider your privacy to be of utmost importance. This Privacy Statement informs you how we collect, process and use your personal information.

We define personal information as all information that directly or indirectly relates to you, and includes personal data as defined by the General Data Protection Regulation. Where GDPR or other EU privacy laws apply to you, this Privacy Statement describes how you can exercise your rights.

FIM’s Lawful Basis for Collection and Use of Personal Information

We will only collect and use your personal information when it is necessary to achieve FIM’s legitimate interests of helping missionaries to fulfill their call and helping churches to fulfill their missionary vision.

We will use your personal information when it is needed to process donations, comply with our legal obligations, or communicate with missionaries to whose support networks you may belong.

For contact management, we collect your identity data and contact details on a legitimate legal basis to communicate with you and, as necessary, with any missionaries you support.

For the processing of donations, we collect your identity data, financial data, financial transaction data, contact details, and tax status, on a legitimate legal basis to securely process your donations toward our tax-exempt charitable purposes.

When you apply for, or serve within, short-term or long-term missionary service with FIM, we collect your identity data, contact details, and application data, on a contract legitimate basis, to securely process your application and determine acceptance for missionary service.

In order to respond to inquiries or requests, we collect your identity data, contact details, financial transaction data, and historical transaction data, on a legitimate interest basis, to securely address your concerns.

How FIM Collects Personal Data

Direct Interaction: when you register to support a missionary, or apply to become a missionary, make a donation, make inquiries, or by other means give us your personal information, we collect your contact details and financial transaction data.

Automated Technology: when you interact with FIM’s website and FaceBook page, we may use demographic technologies to track activities through analytics.

Publicly Available Sources: we may collect personal information about you from public websites such as WhitePages, church websites, and Google.

Referral of Information by Individuals: we may collect personal information about you from missionaries you support, or from church or school contacts where someone you know has communicated to us that you may be interested in learning about the ministries of FIM.

Types of Personal Information FIM May Collect

Identity data: name, date of birth (applicants only), gender (applicants only), marital status

Contact details: email address, postal address, telephone number, FB address

Financial transaction data: details about donations and payments from you and details about ministries you have supported

Financial data: bank account details as communicated by you via the FIM secure Direct Giving Form, checks made payable to FIM by you, and donations made through the online payment processor on FIM’s website

Application data: education, employment history, qualifications, references

Demographics: through analytics- age range, location

Preferences: your preferences in receiving communication and marketing information from FIM

Information about beliefs: (applicants only) religious information, information you provide about your personal history

How and When FIM May Disclose Personal Information

FIM agrees not to disclose your personal information, including your email address, with anyone outside our organization without your permission. Your information may be disclosed to authorized members of our organization, to public or regulatory authorities, or to third party service providers such as the hosting services for FIM’s donation and contact management software, and direct email providers such as FIM’s secure Google suite and MailChimp.

FIM has taken precautions to protect your personal information and we have contract provisions in place requiring all third party service providers to respect the security of your personal data and to safeguard your information in accordance with FIM’s data protection policies and all applicable laws. FIM will not allow third party service providers to use your personal information for their own purposes. These providers will only be permitted to process your personal data according to strict instructions given by FIM.

Your Rights

Your rights as outlined in the General Data Protection Regulation are available to you if you are located in the EEA. If you wish to exercise any of these rights, please email us at info@fim.org. Once FIM has received identity documentation from you, for the protection of your identity and personal information, we will respond to your request.

If you are not located in the EEA, you can still apply for one of these rights, and we will honor your reasonable request.

Editing and Updating Personal Information

In the event that your personal information needs to be edited or updated, you can change your information by emailing FIM at info@fim.org, mailing the change to the FIM home office, documented telephone call to the FIM home office, or if you give via the website’s online payment processor (PayPal), you can change your information on that website. You may modify your donor record, email address, postal address, name, or marital status. In the event of a change, please provide FIM with all information needed to address your request, including both the old and new data.

Accessing Personal Information

You can request the details of your information on file with FIM. FIM will confirm whether we are processing your personal information and will provide additional details on what kind of information we have on file about you, where we collected it, how we use it, including the legal basis for our processing, how long we expect to keep the data, details of any automated decision making, and the safeguards for data sharing with non EEA countries, subject to the limitations as identified in applicable laws.

If you inquire, FIM will provide you with a copy of your personal information free of charge.

Deletion of Personal Information

Upon request, FIM will delete your personal information if it is no longer necessary for FIM to retain it, if you withdraw the consent which formed the basis of your personal information processing, if you have objected to the processing of your personal information, if your personal data was processed unlawfully, or if FIM is required to delete your personal information to comply with legal requirements.

FIM may not be able to comply with your request to delete personal data if the information is needed to comply with legal obligations, to defend or exercise a legal claim, or to perform a task in the public interest. FIM will notify you if your request cannot be honored for one of these reasons.

Restriction of Processing of Personal Information

You have the right to request FIM to limit the processing of your personal information if you dispute its accuracy, if the information was processed unlawfully, if FIM no longer needs to process your personal information but needs to retain it in connection with a legal claim, or if you object to the processing of your personal data based on FIM’s legitimate interests, subject to confirmation of FIM’s overriding legitimate bases for processing. To the extent required, FIM may retain some of your personal data to ensure compliance with your request to limit processing, or for legal compliance purposes.

Objection to Specific Types of Information Processing

You have the right to object to processing of your personal information on grounds relating to your specific circumstances if you deem such processing to impact your fundamental rights and freedoms.

You may object to automated decision making in the event that decisions are made by automated processing which has a legal or other significant impact on you.

Portability of Personal Information

You may request that FIM send you your personal information in a structured electronic format if the processing of your personal information is based on your consent and if you provided FIM with the personal data.

Withdrawal of Consent

To the extent that FIM uses consent to process your personal data, you have the right to withdraw such consent you may have given to FIM at any time. FIM will promptly honor your request.

If you do withdraw your consent, FIM may not be able to provide donation receipts, missionary updates, and other communications to you. At any time, you have the right to object to the processing of your personal information for direct marketing purposes, and FIM will promptly honor your request.

Filing a Complaint With a Data Protection Authority

FIM will try to resolve any concerns you have, and you will always have the option to contact your local data protection authority to file a complaint or ask for assistance.

International Sharing of Personal Information

FIM is an international organization and may need to share your personal information with missionaries in other countries. If you are located in the EEA, please be aware that FIM may need to transfer your data to countries outside the EEA to process it. FIM will only transfer your personal information outside the EEA with sufficient protections in place and in full compliance with applicable laws. FIM has contractual provisions in place with our online payment processor, donation and contact management providers which require protection of your information and enforcement of legal international sharing of data.

Security

FIM has implemented administrative, technical and physical security measures to ensure that any information we collect is stored and processed securely. All credit card and debit card donations are processed using PCI compliant technology as provided by PayPal. FIM does not store the credit card details of any donor. FIM’s website operates under a secure SSL connection.

FIM has implemented procedures to manage any suspected personal data breach and we will notify you immediately in accordance with our legal obligations in the event of a suspected data breach.

FIM cannot guarantee that the security measures we have in place in connection with the website will absolutely prevent others from accessing or acquiring any information you provide while using the site. You can help FIM to protect your personal information by safeguarding your password, properly signing out of your account, and closing your browser window after visiting the website.

The FIM website may contain links to other sites that are run by third parties such as social media, affiliate organizations, and content providers. Once you have clicked on a link to a third party website, you will leave the FIM website to view sites out of FIM’s control. FIM’s privacy policy does not apply to any third party websites. FIM is not responsible for the privacy practices of any third parties.

Guidelines for Children

FIM does not collect personal information from children under the age of 16. In the event of accidental collection of personal information from a child under the age of 16, FIM will delete such information promptly. If a child under the age of 16 tries to register with FIM as an applicant or donor, a parent or guardian must give consent for that child to provide information. Parents have the right at any time to request deletion of any information relating to the child from FIM’s records.

California residents have the right to request information on an annual basis about any commerce- related customer information which may have been shared with other businesses for their own direct marketing purposes. Please be mindful that not all information sharing is covered by California privacy requirements.
